Veorix (“Veorix”, “we”, “our”) provides AI reception, scheduling, and back-office tooling for small and local businesses. This policy describes what we collect when you visit our marketing site or use our services, how we use it, and the choices you have.
1. Information we collect
We collect information you give us directly when you book a call, sign up, or contact us, plus limited information automatically collected when you interact with our site or services.
- Account & contact details: name, business name, email, phone number, role.
- Booking data: meeting times, agendas, and notes you provide through Calendly.
- Service data: call recordings, transcripts, SMS threads, customer records, schedules, and other content you or your customers provide while using Veorix.
- Usage data: pages visited, device, browser, IP address, and referrer captured via standard logs and privacy-respecting analytics.
- Cookies: minimal first-party cookies used for session continuity and feature flags.
2. How we use information
- Provide, operate, and improve the Veorix services you have asked us to perform.
- Authenticate users, prevent abuse, and secure the service.
- Communicate about your account, billing, and product updates.
- Generate aggregated, de-identified analytics that help us improve voice quality, intent recognition, and reliability.
- Comply with legal obligations and enforce our Terms of Service.
3. Voice and SMS data
When customers call or text the Veorix number you have configured, we capture audio, transcripts, message bodies, caller ID metadata, and any structured fields the agent collects (for example: appointment time, address, vehicle info).
We use these only to operate the service for you, to improve recognition quality with your written consent, and to satisfy carrier or regulatory obligations such as 10DLC. Recordings and transcripts can be turned off per number on request.
5. Retention
We retain account information for as long as your account is active. Voice recordings, transcripts, and SMS threads are retained for the period configured for your workspace and then deleted or anonymized. You can request earlier deletion of specific records by contacting us.
6. Your rights and choices
Depending on where you live, you may have rights to access, correct, export, or delete your personal information, or to object to certain processing. You can exercise any of these rights by emailing the address below — we will respond within applicable legal timeframes.
7. Children's privacy
Veorix is built for businesses and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided information to us, please contact us so we can remove it.
8. International data transfers
Veorix operates from the United States. If you are outside the United States and use our services, your information may be processed in the United States and other countries with different data protection laws than yours. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses.
9. Changes to this policy
We may update this policy from time to time. If we make material changes, we will update the date at the top of this page and, where appropriate, give you additional notice (for example, by email).
